Exchanging Meetings - What's Up With Board/Member Exchanges?

Just in case you haven’t seen the YouTube, or read the meeting minutes, or read the Sun City Independent, we want to make sure that you are aware of the new format for RCSC Board meetings starting in April.

Board/Member Exchanges Return Starting April 11

FOR IMMEDIATE RELEASE

 

The RCSC Board of Directors has reconsidered and passed a motion to bring back Board/Member Exchanges in an effort to have more open, two-way communication and sharing of ideas.

 

Starting in April, there will be a Board/Member Exchange on the second Monday of each month and a formal RCSC Board of Directors Meeting to conduct business only on the last Thursday (except July and August when no meetings are held). Both the Exchange and the Board Meeting will be at 9am in the Sundial Auditorium. In addition, all sessions will continue to be video recorded and posted on the RCSC YouTube channel.

 

Under this new format, Member comments at formal Board meetings will be limited to agenda items only. Meeting notices will continue to be posted in RCSC Facilities, published in SunViews and posted on the RCSC Website. Those Members signed up to receive RCSC News Email Alerts will continue to get notifications one week prior to meetings.

 

  •          The Advisory Panel for this group was all in favor of creating these meetings.
  •          In a reply to an email that I sent to president Lehrer, asking about the Exchanges, she said, “

o   I worked very hard to get the Exchange established.

o   I sought input from current and past Board members. 

o   I reviewed the format and agendas from Exchanges from the past. 

o   I made decisions to skip a formal agenda and sign-in to speak, to make the format more casual and member-driven. 

o   I removed all time limits on speaking. 

o   I developed an electronic issue board, that would bullet point member issues or suggestions that needed further research and study.  This board would be visible to all attendants in real-time. 

o   I made a decision to bring back Standing Committee reports to enhance additional information for members. 

o   I even worked out the room setup, to promote a more casual atmosphere for a better exchange of information.  I said I was willing to make changes as necessary to make the Exchange even better.”

  •          We appreciate all her hard work and are just as eager to make these meetings work. With that in mind,

o   We would request to change the name of these meetings to Member/Board Exchanges putting the emphasis on the members (where it should be).

o   We will be asking for some of these Member/Board Exchanges to be held in the evening hours so that folks who still work can attend.

o   We will ask if we, the members, can set an agenda so that our precious time isn’t wasted not knowing what we are doing.

o   We’ll set some parameters such as “There are no bad ideas.”

Better served putting the committee reports at the board meeting rather than at the member/board exchange. The board meeting will be over in no time while the committee reports will simply take time from “our meeting.”
